Who we are
RESERVD is a cash-planning service for small businesses that use Xero, operated from Australia. In this policy, “we” and “us” mean the operator of RESERVD.
What we collect
- Account information — your email address and an encrypted password managed by our authentication provider.
- Business information you enter — your business name and type, GST registration, owner pay, tax settings, ATO debt references, commitments, reserves and other settings.
- Quotes you create — customer names and contact details you enter, sites, line items and totals.
- Messages you send us — through the contact form.
- Basic technical information — such as request logs kept by our hosting providers to run and secure the service.
Xero-connected data
When you connect Xero, RESERVD reads information from your organisation, including payments, invoices and bills, bank transactions, contacts, and profit and loss and balance sheet reports. We use it only to provide RESERVD to you. RESERVD creates draft quotes in Xero only when you ask it to, and never moves money. Xero access tokens are encrypted and stored server-side. You can disconnect at any time; information already brought into RESERVD is kept as part of your history unless you ask us to delete it.
How we use information
- To provide RESERVD: calculating what your cash needs to do, showing your payment history and quotes, and syncing with Xero.
- To keep accounts secure, prevent misuse and fix problems.
- To reply to messages and tell you about important changes to the service.
We don’t sell your information, and we don’t use your business data for advertising.
Service providers
We rely on these providers to run RESERVD. They process information on our behalf to deliver the service:
- Supabase — database, authentication (including sign-up and password-reset emails) and server functions. RESERVD’s database is hosted in Sydney, Australia.
- Netlify — hosting and delivery of the RESERVD website and app, and the contact form.
- Xero — the accounting data you choose to connect, under your own agreement with Xero.
- OpenAI — AI analysis for Quote Assistant, only when you use it (see below).
- jsDelivr and Google Fonts — content delivery networks that serve fonts and code libraries to your browser. Like any website, they receive your IP address when your browser loads these files.
Some providers may process information outside Australia. We don’t currently use analytics or advertising trackers.
Quote Assistant and AI
Quote Assistant is an early-access feature available to selected trades. When you use it, the enquiry text and any files you add (such as plans, photos or an email) are sent to OpenAI for analysis. Files are processed for that request only and are not stored by RESERVD. We record the enquiry text (up to 4,000 characters), the names, types and sizes of any files, and the proposed result, so you can review it.
Where it’s stored
Your RESERVD data is stored in a managed Postgres database in Sydney, Australia, with business-level isolation enforced by the database.
How long we keep it
We keep your information while your account is active so your history stays complete. If you ask us to close your account, we will delete or de-identify your information within a reasonable time, except where we need to keep records for legal, security or dispute-resolution reasons.
Billing
Paid plans aren’t live yet. When they are, payments will be handled by a dedicated payment provider, which will be listed here. RESERVD will not store full card details.
Cookies and local storage
RESERVD uses your browser’s local storage to keep you signed in and to remember small preferences. We don’t use advertising or tracking cookies.
Your choices and rights
You can update most information in Settings, disconnect Xero at any time, and ask us to access, correct or delete your information. You may also be able to complain to the Office of the Australian Information Commissioner.
